Running out of water in the office may seem like a small inconvenience, but it directly affects your team's comfort, the flow of meetings and how alert people stay throughout the day. On the other hand, too much stock takes up valuable storage space. In this guide we explain, step by step, how to calculate your office's monthly water needs, which equipment to choose and how to plan deliveries.
How much water does each person use?
During working hours, an employee typically uses around 1.5 – 2 litres a day for drinking, tea and coffee. This figure goes up:
- In the summer months, especially in warm or non-air-conditioned workspaces,
- For teams doing physical work in the field or in warehouses,
- In offices and meeting rooms that receive frequent visitors,
- In kitchens where tea and coffee are made with bottled water.
Calculating monthly needs, step by step
- Work out your average headcount. Count part-time and remote staff according to their actual office days.
- Choose a daily figure per person. 1.5 L for winter and 2 L for summer is a good starting point.
- Add the number of working days per month. Usually 21–22 days.
- Allow for visitors. Offices with many visitors can add 10–15% to the total.
- Divide by 19 litres and round up.
Example calculation table
The table below assumes 1.75 L per person per day and 22 working days a month:
| Employees | Daily use | Monthly use | 19 L bottles per month | |---|---|---|---| | 5 | 8.75 L | 192.5 L | 11 | | 10 | 17.5 L | 385 L | 21 | | 20 | 35 L | 770 L | 41 | | 50 | 87.5 L | 1,925 L | 102 | | 100 | 175 L | 3,850 L | 203 |

How many dispensers do you need?
As a general rule, one dispenser for every 15–25 people is enough. But location matters as much as numbers:
- Every floor or separate work area should have at least one dispenser.
- Placing dispensers near meeting rooms cuts down on trips back and forth with cups.
- In kitchens and break areas, dispensers with a hot-water tap make tea and coffee easier.
- On upper floors where carrying bottles is difficult, or in very busy offices, mains-connected filtered dispensers are a good alternative.
Stock and delivery planning
- Keep a buffer. Holding at least 2–3 days' worth of full bottles prevents surprises on busy days.
- Set a fixed delivery day. Weekly or fortnightly scheduled delivery makes both stock tracking and budgeting easier.
- Create a space for empties. When empties are collected regularly, deliveries are faster.
- Appoint someone responsible. An office manager or receptionist can look after orders and returns.
Plan for the seasons
In North Cyprus, office water consumption varies noticeably with the seasons. Use rises clearly between June and September, while occupancy drops during holidays. Instead of one fixed plan, we suggest a winter plan based on 1.5 L per person, a summer plan based on 2 L per person with extra deliveries if needed, and a temporary pause or reduced frequency during holiday periods.
Keeping the budget under control
For corporate customers, options such as monthly invoicing, fixed delivery days and a trade account simplify payments. Creating separate summer and winter plans, to reflect seasonal changes in consumption, also helps balance the budget.
